n8n automation agency

n8n Automation Agency for Teams Tired of Copying Data Between Apps

Workflow automation on n8n, Zapier and Make.com, with AI where it earns its place, alerts that tell you when something breaks, and workflows that live in accounts you own.

A good fit if

  • Someone on your team retypes the same data between apps every day
  • Your Zapier bill grows faster than the work it does
  • You built automations yourself and now nobody knows how they work
  • You want AI to read emails and documents, with a person checking the important ones

n8n is a source-available workflow automation tool you can host yourself or run in the cloud. We pick it when control, cost at volume or data location matter, and we will tell you when Zapier or Make.com is the simpler choice.

Services

Workflow automation services from an n8n automation agency

From one annoying daily task to the plumbing that connects your whole stack.

  • n8n workflow builds

Triggers, branching, retries and sub-workflows built in n8n, named and documented so your team can read them and change them.

  • Self-hosted n8n setup

n8n on your own server or cloud account, with backups, updates, credentials stored properly and access limited to the people who need it.

  • Zapier and Make.com automation

Already on Zapier or Make? We build, clean up and document there too, and only suggest moving when the numbers or the limits say so.

  • Migration from Zapier or Make to n8n

Each Zap or scenario rebuilt in n8n, run side by side with the original, and switched over once the outputs match.

  • AI workflow automation for small business

Steps that read emails, sort enquiries, pull fields from invoices or draft replies, with a person approving anything that goes to a customer or moves money.

  • Fixing automations you already have

Broken runs, silent failures, duplicate records. We audit what exists, fix what matters and add alerts so failures stop being silent.

What is n8n

What is n8n automation, and when is it the right tool?

n8n connects apps through visual workflows, much like Zapier, but you can host it yourself and drop into code when a step needs it.

  • Self-hosting is an option

Run it on infrastructure you control, so customer data passes through your servers instead of a third party's.

  • Priced per workflow run, not per step

n8n counts a whole execution where Zapier counts each task. For long, busy workflows that difference shows up on the invoice.

  • Code when you need it

JavaScript or Python inside a node for the transform no drag-and-drop block covers, without leaving the workflow.

  • AI nodes built in

Model, agent and vector store nodes let a workflow classify, extract and draft, with answers grounded in your own documents.

  • The trade-off

Self-hosting means someone owns updates, backups and uptime. We set that up properly, or keep you on n8n Cloud if you would rather not.

Comparison

Zapier vs Power Automate vs n8n: which should you use?

No tool wins everywhere. The right one depends on your stack, your volume and where your data has to live.

  • Zapier

The biggest app library and the easiest start. Best for simple, low-volume automations that a non-developer will maintain. Costs climb as task counts grow.

  • Make.com automation

Visual scenarios with stronger branching and data handling than Zapier, priced by usage. A sensible middle ground for busy marketing and operations teams.

  • Microsoft Power Automate

The natural pick if your business runs on Microsoft 365, SharePoint and Teams, and some of it comes with plans you may already pay for. Less comfortable outside the Microsoft world.

  • n8n

The pick when you need self-hosting, complex logic, custom code or AI agents inside the workflow, or when per-task pricing elsewhere has become a real budget line.

  • Mixed is fine

Plenty of businesses keep a few simple Zaps and run the heavy workflows on n8n. We design around what you have, not a clean slate.

How it runs

How our n8n automation agency works

  1. 01

    Map the manual work

We talk to the people doing the task, list every step and pick the workflow with the most repetition and the least risk.

  2. 02

    Design it on paper

Triggers, data, edge cases, approval points and what happens when an app is down, agreed before we build.

  3. 03

Build and test with real data

Built in a test environment, run against real examples and checked against the manual result before it touches live records.

  4. 04

Launch with alerts and hand over

Error notifications, run logs, a short written guide per workflow and credentials in accounts you own.

Cost

How much does an n8n automation agency cost?

We price a workflow, or a set of them, as a fixed project after a short call about what your team does by hand today. These are the things that move that number.

Get a fixed quote→
What moves the priceWhy
Number of apps involvedTwo apps with good APIs is a small job. Each extra system, especially one without a clean API, adds build and test time.
Branches and edge casesA straight line from form to CRM is quick. Approvals, duplicates, missing fields and retries are where real workflows grow.
AI stepsReading documents, classifying emails or drafting replies adds prompt work, test cases and a human review step.
Self-hosted or cloudSelf-hosting n8n adds server setup, backups and monitoring, and swaps the platform subscription for your own hosting costs.
Migration from Zapier or MakeEach existing Zap or scenario is rebuilt and tested against the original, so a large account is scoped as its own piece of work.
Support after launchApps change their APIs and workflows break. A monthly retainer covers fixes, updates and the next automations you find.

FAQ

n8n and workflow automation questions

n8n is a workflow automation tool that connects your apps so data moves between them without anyone copying it by hand. You build workflows from nodes on a visual canvas: a trigger such as a new form entry, then steps that look up, transform and send data to your CRM, inbox, spreadsheet or database. Unlike most rivals, n8n can be self-hosted on your own server, lets you write code inside a step, and includes AI nodes for reading, sorting and drafting text.

It finds the manual work worth automating, designs the workflow, builds it in n8n, and keeps it running. In practice that means mapping your current process, connecting the apps through their APIs, handling the awkward cases like duplicates and missing data, adding AI steps where they help, and setting up alerts and logs. A good agency also hosts or configures n8n securely, documents each workflow, and leaves everything in accounts you own so you are never locked in.

It depends on how many apps a workflow touches, how many branches and edge cases it has, whether it includes AI steps, and whether n8n is self-hosted or on n8n Cloud. Migrating an existing Zapier or Make account is scoped separately because each automation must be rebuilt and tested. We quote a fixed price per workflow or per set of workflows after a short call, and a monthly retainer is available if you want fixes and new automations over time.

None is best everywhere. Zapier is easiest to start with and has the largest app library, but per-task pricing climbs with volume. Power Automate suits businesses already deep in Microsoft 365 and Teams. n8n wins on control: self-hosting, custom code, complex logic, AI agents and pricing per workflow run instead of per step. For a small business with a few simple automations, Zapier is often fine. For heavier or data-sensitive workflows, n8n usually earns the extra setup.

Yes. Not every business should leave Zapier, and we build, clean up and document Zaps as well as n8n workflows. We also work in Make.com. If your automations are simple, low volume and maintained by non-developers, staying put is often the right call. We suggest a move to n8n only when the numbers support it, such as a growing task bill, a limit you keep hitting, or data that should not pass through a third party.

Yes. We start with an inventory of what you have, flag automations that are broken or no longer used, and rebuild the rest in n8n. Each one runs side by side with the original on real data until the outputs match, then we switch over and turn the old version off. Doing it in batches keeps the risk low and means your team never has a day where nothing is running.

Self-host when data location matters, when you run high volumes, or when you need community nodes or setups that the cloud plan does not allow. In return, someone must own updates, backups, security and uptime, which we can set up and maintain. Choose n8n Cloud when you want the quickest start and no server to look after. Workflows can be moved between the two later, so the first choice is not permanent.

It handles the reading and sorting that used to need a person. Typical examples: sorting inbound emails and routing them to the right person, pulling totals and dates from invoices into your accounts tool, qualifying leads from a form and writing a first reply, or summarising calls into the CRM. The AI works from your own data and rules, and anything that goes to a customer, moves money or cannot be undone waits for a person to approve.

It tells you, instead of failing silently. Every workflow we build has error handling for the predictable problems, such as an app being down or a field missing, with retries where safe. Anything it cannot fix sends an alert to email or Slack with the failed run attached, so someone can see what happened and rerun it. On a support retainer, those alerts come to us and we fix the cause, not only the single run.

Ask to see workflows they have documented, not only screenshots of canvases. Check how they handle errors, credentials and self-hosting security, whether you will own the n8n instance and every account, and whether they will tell you when Zapier is simpler. Ask who builds the workflows. Kavion is a small senior team in India working remotely with clients in the US, UK, Canada, Australia and India, replying within one business day.
